Normal Change Process (NRFC) - Executing a NRFC

  1. Prerequisites
  • You must have a fully approved NRFC (Normal Request for Change) in the Approved, Scheduled, or Execution status. see KB00011633

  • Note: If you need to create a NRFC, please reference “Normal Change Process (NRFC) – Creating an NRFC” KB in Halo

  1. Change the status to Execution
  • In Halo, open the NRFC that you will be working on. If the status is not Execution, select the current status and change it to Execution. (if the NRFC is in Approved, you will first have to move it to Scheduled, then save, then it can be moved to Execution).

  • If you NRFC is not in Execution, Scheduled, or Approved, see step 1 and Prerequisites above.

  • NOTE: Once a NRFC is in the Execution status, it cannot be cancelled. It must process though the lifecycles and documentation must be completed showing the work that was done. If work cannot and will not be performed, Set the status of each task as “reverted” and document that the system is in the state it was prior to execution. Should you need to make changes move through the execution steps as reverted, document that no work was done. You can use the three dots in the upper right to “copy” the NRFC to get one back to a draft status with the ability to modify and then resend for approval. It is best to add “resubmit” to the title so approvers and the CAB know this was resubmitted. Notate in the original NRFC that it was resubmitted and the new NRFC number.

  1. Select the Execution Tab on the right side of the NRFC window.

  2. Select the first task, or next task to be performed in sequence. Once in the execution phase it should have a Blue arrow icon next to the task that is next to be performed.

  3. Once the task is opened, and you are ready to perform work, set the status to work in progress.

  • Prior to starting it is best to take appropriate starting or pre change documentation or screenshots if they have not already been taken.
  1. Attach evidence of the pre and post change to the Attachments section of the RFC work window. Label the attachments accordingly. Use SnagIt or another program to highlight and call out the parts of the evidence that shows the change. If working in a system or application make sure to show the entire page of whatever is being worked on, including any timestamps, device connection details, etc. If those are not present, figure out if there is a way to show that with the needed information so to show it all in one screenshot or image. For example, arrange multiple windows on your desktop with the needed information so that all is visible. If needed, include multiple screenshots, especially if data will flow into other pages or be cut off or if details are hard to read and need to be zoomed in. Include both the zoomed in and zoomed out versions. When in doubt, include as much detail as possible or reach out to Senior IT Manager or another member of the CAB for directions as to how to document the change. If it is a physical change, pictures from a cell phone showing the work is usually sufficient so long as they are clear and labeled appropriately to understand what is in the image.

  2. Once the step is complete, change the status from work in progress to the appropriate status:

  • Completed - Changes Completed Successfully

  • Completed with Errors – Errors or problems may have been encountered but the work was done and left in place.

  • Reverted - Work was done but ultimately reverted or if no work was done at all.

  1. Repeat the steps 4 thru 7 for each task until all tasks have a end status shown in step 7.

  2. Once complete, attach any additional documentation to the NRFC activity log such as network diagrams, testing results, customer or stakeholder acceptance, etc, for review. Be sure to label everything appropriately.

  3. Once all steps have been moved to a complete status the NRFC Status will move to Review. Please finalize any notes, evidences in the activity log of the NRFC and leave it in this review status to be reviewed by the CAB.

  • The CAB will review and close the NRFC. Should there be questions or concerns by the CAB, they will move to a “Review Rejected” status and will update with the reason for the rejection. Follow their guidance and resubmit for review by changing the status back to “Review.”
