Offboarding/Termination procedures for Forte Biosciences employee.

When Offboarding/Termination Form is submitted

Section titled “When Offboarding/Termination Form is submitted”
  • Terminated user’s:

  • M365 Sign-In blocked

  • M365 password reset

  • Record of previous M365 Groups placed in public notes

  • Mailbox converted to shared mailbox with appropriate permissions granted

  • M365 Licenses removed from user’s account

  • All terminated user data migrated to shared OneDrive folder


  • Halo Ticket

  • Authorization from Client POC using Offboarding/Termination Form

  • 1Password > Forte - M365 Global Admin (Primary)


  1. Contact PBA Owners to remove licenses (They can be added to the ticket or a separate email with a screenshot in the ticket for evidence)
  • Ref Software CIs

  • NOTE: You do not have to keep the ticket open to receive confirmation from the PBA Owners

  1. Login to M365 Tenant
  2. Block M365 Sign-in
  3. Reset M365 Password
  4. Screenshot or list of currently assigned M365 Groups added to the public notes of the ITSM Request
  5. Remove all Group memberships
  6. Remove user from Global Address List
  7. Set mail forwarding and access based on the request
  8. Convert mailbox to “Shared Mailbox”
  9. If backup of local users’ data is checked. Ensure the following folder is created (Screenshot further below for example): Sharepoint > Terminated Users > Documents > [First Last] > Local Data
  1. If backup of one-drive data is checked. Ensure the following folder is created (Screenshot further below for example): Sharepoint > Terminated Users > Documents > [First Last] > Onedrive
  1. Remove all M365 Licenses from the user’s account once data is transferred.
