Purpose:
Section titled “Purpose:”This WI shows the user how to create a new meeting notice in a MS Teams Channel. This article will include two possible ways to create the meeting request.
Scope:
Section titled “Scope:”All cIT employees who need to create a teams meeting.
Responsibility:
Section titled “Responsibility:”It is the responsibility of the meeting owner or designee to reference with KB to know the steps required to create the meeting notice.
Completion Criteria:
Section titled “Completion Criteria:”Scheduled meetings appear on the attendees Outlook calendar, as well as the Channel calendar.

Steps:
Section titled “Steps:”From the Calendar icon on the left navigation bar:
- Click the “Calendar” icon from the left navigation bar to open the calendar.
- In the upper right corner, click “+New Meeting”.
- Add title - add the name of the meeting.
- Add required attendees - in order to get the invite on the attendees Outlook calendar, you must add attendees, even though the form reads options.

You do not need to add names manually. You can enter the “@centrex” symbol to get a list of channels. EX: @centrexIT - All - will add the meeting to the MS Teams calendar and Outlook calendar for everyone in the company.
NOTE If you do not add the names or the channel group, the meeting notice will not appear on the attendees calendar.**
- Select the meeting start date and time and meeting end date and time.
- The calendar defaults to 30 minute increments. If you need to create a meeting for 15 minutes, you will need to manually type in the start or end time PLUS the AM or PM indicator.
- Does not repeat - this default does not need to change if it is a one time meeting. If it is a recurring meeting, click the down arrow to open the reccurence menu.

If recurring, select the correct cadence from the dropdown.

The selection will open a Set Occurence dialog box for you to enter the start day/date and ending day/date.
- Add channel - this is where you select the channel where you want to place the invite.
- If you need to create a meeting in the centrexIT Team One channel, please contact the MS Admin.
- Add location can be blank since you are creating a virtual meeting.
- Text box - the meeting notice needs to include the reason for the meeting and a brief agenda. Please do not leave this area blank!
- Who can bypass the lobby? - Select from the dropdown to limit users to stop in the lobby before dropping into a call. Very important, especially if you have outside guests.
- Record automatically - set the toggle to record automatically if you want a recording. Defualt is set to off.
- Check your meeting invite, make any changes, and click Send in upper right corner.
From the Channel Space:
- Select the channel from Teams where the meeting notice needs to be placed.
- Click the small camera icon from the upper right corner to open the dropdown box.
- Select now if you want everyone in the channel to get a notification that the meeting has been opened to meet on demand, or
- Select Schedule a meeting to open the dialog box.
- Once the meeting invite opens, repeat Steps 3-12 from above.
