Purpose:
Section titled “Purpose:”After complying with the Vehicle Policy, any employee may reserve the Genesis for up to one week to complete company business. This may include out of town employees visiting in the San Diego area, client onsite visits, attending a training seminar, or attending a sales and marketing event.
Scope:
Section titled “Scope:”This work instruction affects all employees that are qualified to drive a company vehicle, per the Vehicle Policy.
Responsibility:
Section titled “Responsibility:”This work instruction applies to all areas and employees of the company.
Completion Criteria:
Section titled “Completion Criteria:”Any employee who plans to drive the Genesis must follow this work instruction and reserve the Genesis BEFORE removing it from the Poway office parking lot. Once the reservation is complete in Outlook, the Genesis may be driven for company business only.
Records:
Section titled “Records:”All reservations are located in Outlook in the “Genesis: Poway Office - Unassigned” calendar.
Steps:
Section titled “Steps:”- Add “Genesis: Poway Office - Unassigned” Calendar
- Open Outlook
- Select the Calendar icon
- Select “Add Calendar”
- Select “From Room List” from the drop-down menu
- Double-click “Genesis: Poway Office – Unassigned”
- Select “OK”
- This calendar allows you to view the availability of the Genesis
- Book a Reservation for the Genesis
- In your own calendar, double-click the start time on the day you would like to reserve the car
- Enter your first and last name in the “Title” field
- Choose the Start time and End time for your reservation
- Select the “Location” button
- Double-click “Genesis: Poway Office – Unassigned”
- Select “OK”
- Select “Send”
- To Delete a Reservation
- Go to your own calendar
- Right click on the reservation
- Select “Cancel Meeting” from the drop-down menu
- Select “Send Cancellation”
