The purpose of this article to explain how the culture recognition rewards recipients are selected and when and how the list of names is reported to accounting so the reward payment can be processed.


The scope of the article includes references to HR and Accounting, but this article includes steps for the HR Manager, or designee.


HR Manager


A list of reward recipients has been generated and submitted to Accounting by the 10th of the month following the end of the quarter. Accounting has processed the payout or the donation by last day of the month following the end of the quarter, during the end of the month pay cycle.


A list of quarterly winners will be shared with the team during a Lunch and Learn and stored in the general space in MS Teams.


  1. During the first week of the month following the end of the quarter, the HR Manager or ELT designee will request the Business Analyst run the Power BI report that lists the names of all recognition recipient and all recognizers.
  2. HR Manager will review the list and make the following determinations:
  • Are there more than 20 names listed for recognition?

  • If no, then all recognition recipients will be eligible for the payout.

  • If yes, HR Manager will need to randomly select 20 names.

  • Are there more than 20 names listed of the recognizers?

  • If no, then all recognizers will be eligible for the payout.

  • If yes, the HR Manager will need to randomly select 20 names.

  1. Using an online random name generator tool, i.e., wheelofnames.com, the HR Manager will list the names to select the 20 rewards recipients.
  • Name should appear in the generator the same number of times it appears on the list.

  • Using the generator, select 20 random names from the list.

  • A recipient can only be selected once.

  1. Taking the list of 40 names, HR Manager will ask each recipient if they prefer a payout or if they wish to make a charitable donation to a pre-determined charity for the quarter.
  2. HR Manager will provide the list of names, the amount to recieve along with payout preference, to the Accounting department no later than the 15th of each month.
  3. HR Manager will share the list of winners with the organization during a scheduled Lunch & Learn.
