Review the submitted User Offboarding Form to complete the following steps:

  • Login to the domain controller (DC04/DC05)

  • In Active Directory, locate the account and disable access at the specified time

  • Reset the user’s password

  • Remove the user from all groups

  • Remove the user from the GAL in Active Directory

  • Attribute Editor>MSExchangeHideFromAddressBook

  • Enable: TRUE

  • Search for Powershell, Right click and open as Administrator

  • Run Start-ADSyncSyncCycle -PolicyType Delta to ensure that 365 is up to date with the user’s new attributes

  • Locate the user

  • Block Sign-in and Reset the Password

  • In the Mail tab, click “Manage global address list visibility”

  • uncheck the “Show in my organization address lists”

  • Save changes.

  • Remove user from all 365 distribution lists, confirm that you have removed them from BULLPHISH M365.

  • Go to the admin center Exchange>Mailboxes

  • Select the user

  • Navigate to “mailbox Settings”

  • “Convert to Shared Mailbox”

  • Refresh to confirm that the mailbox is now a “Shared Mailbox” and NOT a “User Mailbox”

  • Add Full Delegation and Send-As Delegation for any users who should have access to the shared mailbox.

  • Set Auto-Reply:

“USERS FULL NAME” is no longer with GPW, LLP. If you require assistance, please call our office at 619-282-7366.”

  • Return to the 365 Exchange Admin Center and REMOVE the user’s licenses ONLY after the mailbox has been converted to a shared mailbox

  • Message DQ to remove any extra liceses sitting in the Office Portal.

  • Navigate to the Adobe Admin portal (Credentials in PWState>GPW>Websites)

  • Inform vITM if we need to remove the license attached to the user.

  • Note the hardware hostname, this should be the devie we remove from PDFLYER in the next step

  • Schedule a pick-up or remote appointment if we need to reprovision the computer/laptop.

  • Navigate to GPW DC02

  • Open File Explorer

  • navigate to \gpwapps\c$\CCH ProSystem fx Scan\Permkey\PDFLyerLicense.exe

  • Remove the license from a device associated the user’s reported endpoint in N-central.

  • Update the VITM with current PDFLyer license count

  • Login to the Mitel account with the credentials in PWState

  • Disable the user’s account.
