Offboarding procedures for Trishula.

  • Terminated user’s:

  • M365 Sign-In blocked

  • M365 password reset

  • IMPORTANT: Record of previous M365 Groups removed and placed in public notes

  • Mailbox converted to shared mailbox with appropriate permissions granted

  • IMPORTANT: M365 Licenses removed from user’s account

  • All terminated user data migrated to Terminated Employee Data SharePoint Site

  • SharePoint > Terminated Employee Data > Documents > John Doe

  • OneDrive (subfolder)

  • Local (subfolder)

  • Managed PBAs Removed


  • Halo Ticket

  • Authorization from Client POC or IT Termination Form submitted

  1. Block M365 Sign-in
  2. Reset M365 Password
  3. Screenshot or list of currently assigned M365 Groups added to the public notes of the ITSM Request
  4. Remove all Group memberships
  5. Remove user from Global Address List
  6. Set mail forwarding and access based on the offboarding request
  7. Convert mailbox to “Shared Mailbox”
  8. Data backups:
  • OneDrive:

    1. Login to GA account (reference Requirements Section)
    2. Go to M365 Admin Center
    3. **Users > Active users**
    4. Search for the Terminated User
    5. Click name to open user properties
    6. Go to the OneDrive tab
    7. Click Create link to files
    8. Click the link generated
  • 9. **IMPORTANT**: Only select the files and folders owned by the user!
    10. Click **Move to**
  • 11. Click My files
    12. Click on Terminated Employee Data
  • 14. Click New Folder and name the folder (if user folder doesn’t exist)
  • Format: First Last (eg John Doe)

    15. Click Create
  • 16. Open the newly created folder and create a OneDrive folder
    17. Move selected contents to the OneDrive folder
  • Local Data:

    1. If local data backup is required, schedule a time with the device (and POC if applicable).
    2. Create a new folder under Terminated User's Folder
  1. IMPORTANT: Remove all M365 Licenses from the user’s account once Mailbox is converted and OneDrive content is moved
  2. IMPORTANT: Remove any requested PBA Licensess
