RYI User Offboarding Steps
Section titled “RYI User Offboarding Steps”Active Directory
Section titled “Active Directory”- Login to DC2
- Find the user account and perform the following:
- Reset users password
- Note down the password. This will be sent to Sandra once off-boarding has been completed (Do not save the password in the ticket)
- Disable the account
- Force Delta Sync
Login to the M365 portal
Section titled “Login to the M365 portal”- Find the user account being terminated
- Block Sign in
- Convert user mailbox to a shared mailbox
- Once this is completed grant centrexIT Admin account full access to the mailbox.
- Provide access to the terminated users mailbox (Per Off-boarding Request)
- Forward emails to the Specified person (Per Off-boarding Request)
- Set Auto-Reply for users Mailbox within Exchange Admin Center
Auto-Reply Message:
Section titled “Auto-Reply Message:”Dear sender,
Thank you for your email. [first name, last name] is no longer with [name of company] as of [date] and unfortunately can no longer answer your email. Please direct your inquiries to [first name, last name] at [email] or [phone]. He/she will be happy to assist you. Please note that your email will not be forwarded automatically.
Sincerely,
- Once Auto Reply is set on the mailbox remove access to the centrexIT admin account
- Move the user account to the disabled OU in AD
- Remove the license from the M365 account
- Send a ticket to procurement to remove the license from M365.
- Send Sandra an encrypted email with the user’s password.
- Confirm with Sandra we can remote into the user’s machine and delete their local profile
