This standard sets the expectations for content creators to make the best use of the Paylocity LMS for the purpose of creating and delivering content, and ensuring that training gets assigned to the appropriate end user. This standard also includes some best practices to help the content creator develop engaging training materials.


The permission levels are correct for content creators.

Proper LMS permissions are required in order to create training content.


  1. Paylocity LMS is one of two learning platforms used by centrexIT.
  • Udemy is the platform used for creating learning paths with pre-built learning content

  • Paylocity is the platform used for training content created by and for centrexIT employees.

  • The system allows training to be assigned by the creator and tracked by the creator and Human Resources

  1. Content creators will need to have the correct permissions required to create content.
  • Access to training permissions requires HR approval
  1. Content creators are required to complete the assigned Paylocity LMS training courses.
  2. All catergories and subcategories are to be aligned with the core functions of the organization as outlined in ST - Documentation Pyramid
  3. All subcategories should align with the business processes that reside in each core function.
  4. If content creator feels the need to use a missing subcategory, contact the CI/QA chair to add the missing subcategory.
  • The intent is to keep the same structure in both the LMS and Knowledge - Halo
  1. Training content needs to be created to help fill skills or knowledge gaps.
  • Content needs to be developed to meet business goals or learning objectives

  • Content needs to be written for the audience you need to reach (is it general training for all employees or is it specialized training?)

  1. Training content should:
  • Encourage learner engagement

  • Add value to the training

  • Help create subject matter expertise

  1. Training content should not:
  • Be a word document that the learner is expected to read

  • Only contain links to external sites

  • These should be used sparingly and then as reference materials, only

  1. Creator is responsible for maintaining the accuracy of the content. This should include, at the minumum, an annual check to ensure that training is still current.
  2. Creator needs to obtain feedback for select individuals to ensure that training is meeting the needs of the audience.
  1. Utilize clear, consistent, and concise materials.
  2. Training should be on a single topic.
  • Multiple topics relate to mutilpe trainings
  1. Do not use jargon or terms the employee does not yet understand.
  • Define jargons or acronyms on a definitions slide
  1. If using a PowerPoint deck:
  • Do not make use of a multiple images on a single slide

  • Avoid wordiness on a single slide

  • Each module should be specific to one topic

  1. If using a video:
  • Keep videos to 10 minutes or less
  1. All training modules should end with a quiz to help reinforce the training and allow the learner to demonstrate competency of the material.
  • At this time, training activities cannot be built in the LMS. If an activiy is required, the training can include a link to a lab area that has been created for the module.
  1. Include content that is relevant to the target audience.
  • Where possible, include examples, case studies, visual images, metaphors, and analagies

  1. Begin each module with a statement as to what the learner can expect; a summary of the content.
  2. Re-state the intent of the module at the end of the training. Repetition helps reinforce training.
  3. Content should be stimulating with some type of engagement by the learner.
  4. Each module should end with a quiz to reinforce learning.
  1. Use Snagit for easy video creation of screenshots
  2. Use Powerpoint recording to setup a recording of your presentation and then export as a video
  3. Use Clipchamp in Microsoft 365 to splice together or edit videos to make one file for upload to paylocity
